Communicating Your Intranet Effectively

Any service introduction should be accompanied by a communication plan and an intranet is no different.

Yet so many organisations roll out an intranet without telling people why, when and where.

Firstly, a simple and effective plan will let people know why you are introducing an intranet. Secondly, it will give them a chance to get involved and thirdly and most importantly, it will help to drive adoption.

There may be many reasons you are building an intranet.

A communication plan will help to support your rollout and therefore, your plan is a core part of the success of your intranet.

Most importantly, before your launch, your plan can help build awareness and interest. Additionally, your message should create the momentum needed to ensure a smooth launch.

So what should your plan hope to achieve?

  • Develop and maintain positive relationships with all.
  • Increase support and adoption of your intranet.
  • Maximize awareness of your intranet.
  • Create key messages and talking points.
  • Establish “one clear voice” throughout all communication.
  • Create a clear brand identity and build on that image and reputation.

The following table lists some possible key messages, for instance, that could be communicated to your audiences. Furthermore, they should provide awareness of your intranet and also the business benefits.

Audience Message
Users Document Management,  Productivity, Collaboration
Senior Members Extended toolset Ability to fix business issues Reduce risk
Heads of Department Extended toolset,  Ability to fix business issues, Reduce risk

Every company is different and therefore has different means of communication.

The following is a list of communication channels that correspondingly may be used within your organisation.

  • Break room and cafeteria poster.
  • Conference room walls.
  • Splash screens.
  • Corporate and departmental meetings.
  • Training and new employee onboarding.
  • Newsletter announcements.
  • Monthly “Tips-N-Tricks” emails to site owners.
  • Videos.

If you want to implement a thriving intranet, without doubt you need to set yourself up for success.

A critical factor in your success is an effective communication plan.  In other words,  promoting adoption and building awareness across your organisation.
