When Copilot searches your SharePoint libraries, it relies on signals to understand what a document is, what it is about, who it is for and how current it is. Those signals come from metadata, naming conventions, library structure, sensitivity labels and version history.

If those signals are absent or inconsistent, Copilot cannot perform at its best. It may surface outdated documents. It may miss the most relevant content. It may — more seriously — surface documents to people who should not have access to them.
